The Service Resources window allows you to define the rooms, chairs, and tables used to perform services. Once you define a service resource, you can assign the resource to a service and prevent clients booking appointments at times when the resource is unavailable. In addition, you can also view the appointments scheduled for each resource using the Resource Appointment Book.
Select Data > Services > Service Resources.
The Service Resources window displays.
In the Resource Name field, type the name of the resource.
In the How Many of these Resources do you Have field, specify how many clients can receive a service using the resource at any one time.
(Optional) In the Square Feet field, type the size of the resource in square feet.
Tip: If you specify the size of the resource, you can track the projected revenue per square foot for the resource on the AQ223: Resource Use by Service Class report. Refer to the Reports User Guide for more information on the AQ223 report.
Click Edit Service List Above, select the services that require the resource, and click Ok.
Tip: If you have not defined any services, you can assign a service resource when you are defining a new service by accessing the Resource tab on the Service Definitions window.
The Appointment Colors window displays.
Tip: Select the same colors for resources used to perform similar services.
In the Mask Increment field, select the preferred interval at which you should schedule appointments on the resource.
Example: If you book services that last 1 hour and require 15 minutes of clean up on the resource, you should select a mask increment of 1 hour and 15 minutes. This gives the service provider plenty of time finish the service and clean up before the next appointment starts. The mask increment starts from the time the business opens and continues through the day until the close of business.
In the Mask Text field, type the text to display on the Resource Appointment Book to guide front desk employees to the correct intervals at which to schedule appointments on the resource.
Example: "BOOK HERE"
Select Bookable to allow front desk employees to schedule appointments on the resource at different intervals, or select Not Bookable to prevent front desk employees from booking appointments at different intervals.
Note: When you select Not Bookable, the ability of employees and clients to book appointments at times outside of the specified intervals changes. If an employee uses the Appointment Editor to book an appointment, a warning displays about a clash with the masking time but they can still book the appointment. If an employee uses the Scan for Opening feature or a client tries to schedule their appointment through Online Booking, they can only book appointments at the specified intervals.
