Navigation

Millennium provides you with a number of different ways to navigate through the system and locate the feature that you need to use.  This topic explains the basics about navigating Millennium.

Navigation Center

The Navigation Center provides easy access to commonly-used features and reports, saving the need for you to select from any of the standard menus in Millennium.  The Navigation Center also displays important metrics and statistics to keep you informed about the performance of each profit center.

You can access the Navigation Center by clicking on the toolbar.

Note:  You can configure the Navigation Center to display automatically after you log in to Millennium.  Click here for instructions.

The Navigation Center features seven pages and each page relates to a specific job function or task.  The menu located on the left side of the Navigation Center allows you to access the different pages.

• Front Desk Page

  The Front Desk page displays links to features used by front desk employees and metrics that analyze the performance of the front desk.

  

  Links

  The following links display on the Front Desk page.

  • Daily Activities = Features links to print client work tickets, send appointment confirmations, and view employee schedules.
  • Appointments = Features links to the most important appointment scheduling tools.
  • Register/POS = Features links to ring up sales, view pricing information, and pay money in/out of the cash drawer.
  • Weekly Activities = Features links to reports you should run weekly to assess performance and prepare for upcoming appointments.

  Performance Metrics

  The following metrics display on the Front Desk page.

  • Last 4 months of Pre-Book = Displays the percentage of clients who were rung up for an appointment that was prebooked, sorted by month.

  Important:  This calculation counts an appointment as prebooked if you select Prebooked on the Appointment Editor when scheduling the appointment.

  • Today's Activity = Displays the following metrics to give you a general overview of today's appointments:

  • Transactions = Number of transactions rung up through the Register.

  • Cancellations = Number of appointments cancelled.

  • Clients = Number of clients with an appointment scheduled today.

  • Gift Certif Sales = Revenue from gift certificate sales, calculated as follows:

  Gift Certificate Sales – Gift Certificate Refunds

  • Appointments = Number of appointments scheduled today.

  • Retail Clients = Number of clients who purchased a product.

  • No-Shows = Number of clients who were marked as a no-show.

  • % Retail Clients = Number of clients who purchased a product as a percentage of the total number of clients making a purchase, calculated as follows:

  # Retail Clients / Total Clients * 100

   

• Management Page

  The Management page displays links to features that allow management personnel to analyze the performance of specific employees and the business.  The Management page also displays metrics that analyze sales during the last 7 days and compare current performance with the numbers from the same time last year.

  

  Links

  The following links display on the Management page.

  • Staff Administration = Features links to define tasks, update employee profiles, define work schedules, and analyze productivity at the front desk.
  • Business Analysis = Features links to tools and reports that analyze the key growth indicators of the business.
  • Management Tools = Features links to analyze Millennium usage, configure alerts to track specific employee behavior, and schedule reports to run automatically.

  Performance Metrics

  The following metrics display on the Management page.

  • Last 7 Days Sales = Displays a comparison between the estimated and actual income for the last 7 days.
  • Historical comparison = Displays the following metrics to compare this week's numbers against the numbers from this week last year:

  • Service + Retail = Income from service and retail sales this week compared to this week last year, including the percentage increase/decrease on last year.

  • Clients Serviced = Number of clients (new + repeat) serviced this week compared to this week last year, including the percentage increase/decrease on last year.

  • New Clients = Number of new clients serviced this week compared to this week last year, including the percentage increase/decrease on last year.

  • Repeat Clients = Number of repeat clients serviced this week compared to this week last year, including the percentage increase/decrease on last year.

  • Service Units/Client = Average number of services purchased per client this week compared to this week last year, including the percentage increase/decrease on last year.

  • Retail Units/Client = Average number of products purchased per client this week compared to this week last year, including the percentage increase/decrease on last year.

   

• Inventory Page

  The Inventory page displays links to inventory management tools and reports.

  

  Links

  The following links display on the Inventory page.

  • Maintenance = Features links to define and update product-related records in the Millennium database, print bar code labels, and record employee supply usage.
  • Management = Features links to record inventory counts, create and receipt purchase orders, record inventory returns, and mark products on sale.
  • Analysis = Features links to tools that analyze your product inventory and suggest ways to maximize your investment and profits.

  Performance Metrics

  The Inventory Value graph displays the value of professional supplies and retail items on hand over the last 5 months.

  Important:  These values are recorded automatically when you access Millennium for the first time each month.

   

• Growth Page

  The Growth page displays links to features that analyze key growth indicators for each employee and the business as a whole.

  

  Links

  The following links display on the Growth page.

  • Business Analysis = Displays links to estimate future sales, analyze current sales by item, and create customized client lists for use in marketing campaigns.
  • Staff Reports = Displays links to reports that analyze prebooking, client retention, productivity, and frequency of visit.

  Performance Metrics

  The Last 12 Weeks of Pre-Book graph displays the percentage of clients rung up who had an appointment that was prebooked, sorted by week.

  Important:  This graph counts an appointment as prebooked if you select Prebooked on the Appointment Editor when scheduling the appointment.

   

• Administration Page

  The Administration page displays links to features that allow management personnel to control access to Millennium features and perform routine maintenance.

  

  Links

  The following links display on the Administration page.

  • Security = Displays links to change security groups, define and update user logins, and analyze Millennium activity.
  • Utilities = Displays links to make a backup copy of Millennium, analyze the performance of automated processes, and correct ghost credit card transactions.

   

• Accounting Page

  The Accounting page displays links to reports used by accounting personnel to process payroll, analyze assets and liabilities, and track the sales tax collected.

  

  Links

  The following links display on the Accounting page.

  • Payroll Reports = Displays links to reports you should run at the end of every payroll period to help calculate the salary, wages, and commissions for each employee.
  • Financial Reports = Displays links to reports that analyze Register transactions, liability sales and usage, cash paid in/out of the cash drawer, and deposits to the bank.
  • Tax Reports = Displays links to reports you should run before filing tax returns to show the sales tax collected, inventory value, and liability usage throughout the tax year.

  Performance Metrics

  The Outstanding A/R graph displays the debt incurred by clients for unpaid items, such as account charges and items sold with a payment plan.

  • Account = Total amount owed for account charges that have not been paid.
  • Pay Plans = Total amount owed for payment plan installments that have not been paid.
  • Dues = Total amount owed for membership dues that have not been paid.

  The Outstanding A/P graph displays the liability incurred by the business for items that have not been redeemed/paid back.

  • Pkg/Series = Total liability for packages and series that have not been redeemed and have not expired.
  • GC = Total liability for gift certificates that have not been redeemed and have not expired.
  • Account = Total liability for account credits that have not been paid back to clients.
  • Points = Total liability for reward points that have not been redeemed and have not expired.

   

• Reports Page

  The Reports page provides easy access to reports.

  

  There are two ways to access a report from the Reports page.

  1. Enter a report number

  1. Select Enter a report code or description to search.

  2. Enter the identifying number assigned to the report (e.g. MA200).

  3. Press Enter.

  2. Select a custom report category

  1. Make a selection in the Select a favorite report category field.

  2. Select one of the reports on the right side of the page.

  3. Click Go to selected report.

  Important:  You must define a custom report category on the Report Categories window before you can use this feature.  Click here for instructions.

   

Menu Bar

The menu bar (highlighted below) includes a number of different menus that group similar features together.  To select a feature from a menu, click the name of the menu and select the feature you need to use.

Toolbar

The toolbar (highlighted below) features a number of buttons that provide shortcuts to key features in Millennium.

Right-Click Options

When you right-click on a client, employee, product, or service, a menu displays so that you can view further details about the item.

• Client Right-Click Options

   

  Option	Purpose
  Add New	Add a new client profile.
  Edit/View	View the client's profile.
  Phone Numbers	View the client's phone numbers.
  Credit Cards	View the client's credit card on file.
  Drivers License	View the client's driver's license on file.
  View/Edit Notes	View notes recorded about the client.
  View/Edit Formulas	View formulas/visit notes recorded about the client.
  View History	View the client's purchase history.
  View Product Purchases	View the client's product purchase history.
  View Appointments	View the client's appointments.
  View Referrals	View the clients referred by the client.
  View Referral Tree	View the revenue generated by the client's referrals.
  View Points/Rewards	View the client's reward points history.
  Email This Client	Send the client an email.
  Last Client Used	Insert the name of the client you entered last.
  Same Last Name	View the clients with the same last name as the client.

   

• Employee Right-Click Options

   

  Option	Purpose
  Add New	Add a new employee profile.
  Edit/View	View the employee's profile.

   

• Product Right-Click Options

  Add New	Add a new product.
  Edit/View	View the product.
  Sales History	View the product's sales history.
  Internet > Distributor	View the web site for the product's distributor.
  Internet > Manufacturer	View the web site for the product's manufacturer.
  Internet > Product Site	View the web site for the product.

   

• Service Right-Click Options

  Edit/View	View the service.
  Sales History	View the service's sales history.
