Scheduling a Standing Appointment

The Standing Appointments window allows you to schedule a client's regular service appointment for multiple dates in the future.

Example:  If one of your clients comes in for a massage every second Wednesday at 3:30 pm, you can use the Standing Appointments window to book their future appointments on the preferred day and time.


  1. Click on the toolbar.

The Appointment Book displays.

  1. Click Stand on the left side of the Appointment Book.

The Standing Appointments window displays.

  1. Complete the following based on the scenario:

The client's details display.

  1. Complete the following as necessary:
  1. Select Do not Confirm if the client does not want to receive appointment confirmations.

  2. Select Perpetual Standing to schedule a new appointment every time you ring up the client for their standing appointment.

Note:  This feature allows you to retain a rolling block of scheduled appointments for a client to guarantee they receive their service on the desired day.

Example:  If you schedule a perpetual standing appointment for the next six appointments, the client always has their next six appointments scheduled on the Appointment Book.

  1. In the Category field, select a relevant appointment category.

  1. In the Services table, complete the following for each service the client usually receives:
  1. In the Employee field, select the client's regular service provider.

  2. Double-click in the Service field, select the service, and click OK.

  3. In the Resource field, select the resource required to perform the service.

  4. In the Time field, select the client's usual appointment time.

  1. In the Pattern section, select the client's preferred appointment interval.
  1. In the Range of Recurrence section, verify that the date for the first standing appointment is correct and adjust if necessary.  Select to end the standing appointments after a set number of occurrences or on a specific date.

Note:  If you selected the Perpetual Standing option, the client always has a rolling block of appointments scheduled in the future based on your selections in the Range of Recurrence section.

  1. Click Save.

The standing appointments are scheduled and any conflicts with the employee's schedule display in red text at the bottom of the window.  

If conflicts display, you need to access the employee's schedule and adjust their work time so that they are available, or edit the standing appointment and select a different service provider.

Note:  When you ring up a client for a standing appointment, a notification displays indicating the number of standing appointments scheduled in the future.  This helps to remind you when to ask the client if they want to schedule another block of standing appointments.
