Configuring Appointment & Service Preferences

Before you can schedule appointments with an employee, you need to configure appointment and service preferences in their profile.


  1. Select Data > Employees > Employee Information.

The Employee Information window displays.

  1. Click the Listing tab.
  2. Select the employee and click the Appts & Services tab.
  3. Click Edit.
  4. Configure the appointment preferences for the employee:
  1. Select Allow Double Booking to allow front desk employees to book two appointments for the employee in the same time slot.

  1. Click Employee Heading Color and define the colors for the header of the employee's column on the Appointment Book.

Tip:  You should select the same colors for employees that perform a similar job function, such as stylists or massage therapists. This helps you identify the different classes of employee when viewing the Appointment Book.

  1. In the Default Resource field, select the primary and secondary resources used by the employee to perform their services.

  2. In the Optional Masking section, specify how front desk employees should schedule appointments with the employee by completing the following:

Example:  If the employee usually performs services that last 1 hour and require 15 minutes of clean up, you should select a mask increment of 1 hour and 15 minutes.  This gives the employee plenty of time to perform the service and prepare for their next appointment.  When you book appointments with the employee, the mask increment starts from the employee's scheduled start time and continues through the day until their scheduled finish time.

Note:  When you select Not Bookable, the ability of employees and clients to book appointments at times outside of the specified intervals changes.  If an employee uses the Appointment Editor to book an appointment, they will receive a warning about a clash with the masking time but can still book the appointment.  If an employee uses the Scan for Opening feature or a client tries to schedule their appointment through Online Booking, they can only book appointments at the specified intervals.

  1. In the Select allows services/times table, complete the following for each service the employee performs:
  1. Select Allowed.

  2. (Optional) Select Intelli-Booking to allow the time required to perform the service to change based on the length of the appointments booked for that service.

Example:  Jane Smith schedules a 45-minute appointment with Mary.  Mary realizes that the appointment will only take 30 minutes so she changes the length of the appointment in the Appointment Book.  The next time that Jane schedules an appointment with Mary the appointment length will change to 30 minutes if you have Intelli-Booking selected.

  1. In the Start Len field, select the time required to perform the service.

  2. In the Gap Len field, select the processing time required during the service appointment.

  3. In the Finish Len field, select the time required to complete the service after the processing time.

Tip:  If you want to copy the services and service times for another employee, click Copy Allowed Services from Another Employee and select the employee from whom to copy.

  1. Select Ignore Pre-Book Discounts to prevent the employee's clients from receiving discounts for prebooking their appointments.

  2. Select Ignore Internet/Online Discounts to prevent the employee's clients from receiving discounts for scheduling their appointments through Online Booking.

  3. Click Save.
