Print Marketing

Letters

The Form Letters window allows you to print letters to notify clients about upcoming appointments, expiring memberships, or new promotions.  Millennium features a number of templates you can use for common scenarios, such as appointment confirmations and new member welcome notes, but you can create your own templates as necessary.

• Printing Letters

  1. Select Marketing > Form Letters.

  The Form Letters window displays.

  2. Click New.
  3. Complete the following:

  1. In the Form Letter Name field, type a title for the letter.

  2. Select Show Business Name to display the name of your business at the top of the letter.

  3. Select Include Footer to display the contact details for your business at the bottom of the letter.

  4. Select Exclude Missing Addresses to prevent Millennium creating letters for clients that do not have a valid postal address in their client profile.

  5. In the Sort field, select Name to print the letters in alphabetical order by client last name, or select Postal Code to print the letters in numerical order by zip code.

  4. In the Text Entry box, define the letter.

  • Images = To add an image, open the image in a graphics editing program and press Ctrl+c.  Move back to the Form Letters window, select the desired location for the image using the mouse, and press Ctrl+v.

  Note:  You must save images in JPEG format before you can insert them into a document.

  • Tags = Tags allow you to insert data, such as client names and appointment details, into the letter to save you from having to create a unique letter for each recipient.  To insert a tag, click Insert Tag and select one of the options available on the menu that displays.  Once you insert a tag, the tag displays in carats (e.g. <<TODAY’S DATE>>) in the Text Entry box.

  • Text = Type text as desired.

  Note:  If you want a web site address to display in the letter, type the web address in carats as follows: <<www.harmssamplesalon.com>>.

  5. Complete the following to define a client selection to use for the letter:

  1. Click New next to the Client Selection field.

  The Client Selections window displays.

  2. Select one of the following options:

  • Use Standard Dates = Select this option if you want to use specific dates (e.g. 4/2/11 to 4/23/11).

  • Use Relative Dates = Select this option if you want to use relative dates (e.g. last month or last year).

  3. In the Selection Name field, type a name for the client selection.

  4. Select Mailings.

  5. Select filters to define the target audience for the letter.

  6. Click Save and close the Client Selections window.

  The Form Letters window displays.

  6. Click Save.
  7. Click Print.

  The Results window displays.

  8. Make sure the printer has enough paper.
  9. Click OK.

  A print preview displays.

  10. Click the Print button on the toolbar.

  The Print window displays.

  11. Select the correct printer.
  12. Click Print.

   

Postcards

The Post Cards window allows you to print promotional postcards to thank clients for their business, wish clients a happy birthday, or encourage referrals.

Important:  The postcards created using the Post Cards window are the standard 4" x 6" size and you must print them onto the back of card stock that has a preprinted design on the front.  You cannot create a design for the front of a postcard in Millennium.

• Printing Welcome Postcards

  The following guide explains how to print postcards that thank new clients for visiting your business and offer a discount on their next visit.

  1. Select Marketing > Pre-Defined Post Cards.

  The Post Cards window displays.

  2. Select Welcome in the Select Post Card Type section.
  3. Select Post Cards.
  4. Select one of the following options:

  • 4 per page = Select to print four postcards per page (Avery # 8387).

  • 2 per page = Select to print two postcards per page (Avery # 5389).

  5. Complete the following:

  1. In the Select range to check for clients' 1st visit field, select a date range in which to search for clients making their first visit.  Click Count to view the number of clients who made their first visit during the specified date range.

  2. In the Only include clients that have been in since field, select a date if you only want to target clients who made their last visit after a specific date.

  3. In the Post Card Title field, type a headline to display at the top of the postcard.

  4. In the Message field, change the standard message as necessary and make sure you replace "the Sample Salon" with the name of your business.

  5. In the Post Card Footer field, type a message to display at the bottom of the postcard.

  6. In the Order by field, select Last Name to print the postcards in alphabetical order by client last name, or select Postal Code to print the postcards in numerical order by zip code.

  7. (Optional) Select Include NO MAILING clients to send postcards to clients that have No Mailings selected in their client profile.

  6. Click Print.

  A print preview displays.

  7. Insert sufficient card stock into the printer and click the Print button on the toolbar.

  The Print window displays.

  8. Select the correct printer.
  9. Click Print.

   

• Printing Birthday Postcards

  The following guide explains how to print postcards that wish clients a happy birthday and offer them a special discount on their next visit.

  1. Select Marketing > Pre-Defined Post Cards.

  The Post Cards window displays.

  2. Select Birthday in the Select Post Card Type section.
  3. Select Post Cards.
  4. Select one of the following options:

  • 4 per page = Select to print four postcards per page (Avery # 8387).

  • 2 per page = Select to print two postcards per page (Avery # 5389).

  5. Complete the following:

  1. In the Enter date range to check for Birthdays (year is ignored) field, select a date range in which to search for clients with an upcoming birthday.  Click Count to view the number of clients who have a birthday during the specified date range.

  2. In the Only include clients that have been in since field, select a date in this field if you only want to target clients who made their last visit after a specific date.

  3. In the Post Card Title field, type a headline to display at the top of the postcard.

  4. In the Message field, change the standard message as necessary and make sure you replace "the Sample Salon" with the name of your business.

  5. In the Post Card Footer field, type a message to display at the bottom of the postcard.

• Printing Anniversary Postcards

  The following guide explains how to print postcards that wish clients a happy wedding anniversary and offer them a special discount on their next visit.

  1. Select Marketing > Pre-Defined Post Cards.

  The Post Cards window displays.

  2. Select Anniversary in the Select Post Card Type section.
  3. Select Post Cards.
  4. Select one of the following options:

  • 4 per page = Select to print four postcards per page (Avery # 8387).

  • 2 per page = Select to print two postcards per page (Avery # 5389).

  5. Complete the following:

  1. In the Select range to check for anniversaries (year is ignored) field, select a date range in which to search for clients with an upcoming anniversary.  Click Count to view the number of clients who have an anniversary during the specified date range.

  2. In the Only include clients that have been in since field, select a date in this field if you only want to target clients who made their last visit after a specific date.

  3. In the Post Card Title field, type a headline to display at the top of the postcard.

• Printing Reminder Postcards

  1. Select Marketing > Pre-Defined Post Cards.

  2. Select Reminders in the Select Post Card Type section.
  3. Select Post Cards.
  4. Select one of the following options:

  • 4 per page = Select to print four postcards per page (Avery # 8387).

  • 2 per page = Select to print two postcards per page (Avery # 5389).

  5. Complete the following:

  1. In the Select last visit date range field, select a date six months before today's date in the From field and select a date three months before today's date in the To field.  Click Count to view the number of clients who made their last visit during the specified date range.

  2. In the Only include clients that have been in since field, select a date in this field if you only want to target clients who made their last visit after a specific date.

  3. In the Post Card Title field, type a headline to display at the top of the postcard.

  4. In the Message field, change the standard message as necessary and make sure you replace "the Sample Salon" with the name of your business.

  5. In the Post Card Footer field, type a message to display at the bottom of the postcard.

• Printing Referral Postcards

  The following guide explains how to print postcards that thank clients for referring a new client and offer them a discount on their next visit as a reward.

  1. Select Marketing > Pre-Defined Post Cards.

  The Post Cards window displays.

  2. Select Referrals in the Select Post Card Type section.
  3. Select Post Cards.
  4. Select one of the following options:

  • 4 per page = Select to print four postcards per page (Avery # 8387).

  • 2 per page = Select to print two postcards per page (Avery # 5389).

  5. Complete the following:

  1. In the Select date range to check for client referrals field, select a date range in which to search for referred clients making their first visit.  Click Count to view the number of clients who referred a client that made their first visit during the specified date range.

  2. In the Only include clients that have been in since field, select a date in this field if you only want to target clients who made their last visit after a specific date.

  3. In the Post Card Title field, type a headline to display at the top of the postcard.

  4. In the Message field, change the standard message as necessary and make sure you replace "the Sample Salon" with the name of your business.

  5. In the Post Card Footer field, type a message to display at the bottom of the postcard.

  6. In the Order by field, select Last Name to print the postcards in alphabetical order by client last name, or select Postal Code to print the postcards in numerical order by zip code.

• Changing a Postcard Graphic

  The following guide explains how to change the graphic for a postcard.

  1. Select Marketing > Pre-Defined Post Cards.

  The Post Cards window displays.

  2. In the Select Post Card Type section, select the postcard with the graphic that you want to change.
  3. Click Edit Graphic.

  The current image opens in the Paint application.

  4. Open the new image in an image editor and save the image in JPEG format.
  5. Press Ctrl+c.
  6. Move back to the Paint application.
  7. Press Ctrl+v.
  8. Click Save.

   

Mailing Labels

The Post Cards window allows you to print mailing labels for promotional mailers.

Note:  You must use 1" x 2 5/8" size labels (Avery # 8160) when printing mailing labels from the Post Cards window.

• Printing Welcome Mailing Labels

  The following guide explains how to print mailing labels for mailers that thank new clients for visiting your business and offer a discount on their next visit.

  1. Insert label sheets into the printer and record the position of the first unused label.

  2. Select Marketing > Pre-Defined Post Cards.

  3. Complete the following:

  4. Click Print.
