Updates

To prevent errors and keep Central Office running smoothly, you need to download and install the latest Central Office updates. The CO Maintenance page allows you to check for Central Office updates. If an update is available, you can download the latest update from the My Millennium Community web site.

Important: You must deploy updates outside of normal business hours when you have all instances of Central Office and Millennium closed.

Checking for Updates
1. Select Maintenance > CO Maintenance.
The CO Maintenance page displays. A message displays in red text at the top of the page if there are updates available (as shown below). If there are updates available for the Central Office Windows Service or the Central Office Data Uploader Client, the locations where the updates need to be applied display in red text at the bottom of the page.
Updating the Central Office Database
Note: You need your login credentials for the My Millennium Community web site to complete the update. If you do not remember your login credentials, contact Business Support for further assistance.
1. Access Windows on the server where you have the Central Office database installed.
2. Open a web browser and access http://update.harms-software.com.
3. Type your login credentials and click Login.
The Updates page displays.
1. In the Millennium CO Updates panel, click the Download link next to Millennium CO Database.
The Millennium CO Database window displays.
1. Click Download.
The View Downloads window displays.
1. Click Run.
The Welcome message displays.
1. Click Yes.
The update wizard displays.
1. Click Next.
The Overwrite Protection message displays.
1. Click Yes to All.
The Millennium Central Office Update window displays.
1. Click OK.
The Recreate Table Indexes message displays.
1. Click Yes.
A notification displays once the update is complete.
1. Click OK.
Updating the Central Office Web Application
Note: You need your login credentials for the My Millennium Community web site to complete the update. If you do not remember your login credentials, contact Business Support for further assistance.
1. Access Windows on the server where you have the Central Office database installed.
2. Open a web browser and access http://update.harms-software.com.
3. Type your login credentials and click Login.
The Updates page displays.
1. In the Millennium CO Updates panel, click the Download link next to Millennium Central Office.
The Millennium Central Office window displays.
1. Click Download.
The View Downloads window displays.
1. Click Run.
Tip: If a notification displays indicating that the program could harm your computer, click Actions, click More Options, and click Run anyway.

The update wizard displays.
1. Click Next.
The Select Installation Address screen displays.
1. Complete the following based on the scenario:
- If you have Online Booking or RemoteBusiness installed, select the web site where you have Online Booking/RemoteBusiness installed in the Site field and click Next.
- If you do not have Online Booking or RemoteBusiness installed, click Next to continue.
The Confirm Installation screen displays.
1. Click Next.
The Installation Complete screen displays once the update finishes.
1. Click Close.
Updating the Central Office Windows Service
Note: You need your login credentials for the My Millennium Community web site to complete the update. If you do not remember your login credentials, contact Business Support for further assistance.
1. Access Windows on the server for the location where you need to update the Central Office Windows service.
2. Open a web browser and access http://update.harms-software.com.
3. Type your login credentials and click Login.
The Updates page displays.
1. In the Millennium CO Updates panel, click the Download link next to Millennium CO Windows Service.
The Millennium CO Windows Service window displays.
1. Click Download.
The View Downloads window displays.
1. Click Run.
The update wizard displays.
1. Click Next.
The Confirm Installation screen displays.
1. Click Next.
Tip: Click Continue if the Millennium Central Office Service Update Files in Use window displays.

The Installation Complete screen displays once the update finishes.
1. Click Close.
A notification displays indicating you must restart the computer.
1. Click Yes.
Updating the Central Office Data Uploader Service
Note: You need your login credentials for the My Millennium Community web site to complete the update. If you do not remember your login credentials, contact Business Support for further assistance.
1. Access Windows on the server where you have the Central Office database installed.
2. Open a web browser and access http://update.harms-software.com.
3. Type your login credentials and click Login.
The Updates page displays.
1. In the Millennium CO Updates panel, click the Download link next to Millennium CO Data Uploader Server.
The Millennium CO Data Uploader Server window displays.
1. Click Download.
The View Downloads window displays.
1. Click Run.
The update wizard displays.
1. Click Next.

The Installation Complete screen displays once the update finishes.
1. Click Close.
The Configuration window displays.
1. Click OK.
2. Click Yes.
Updating the Central Office Data Uploader Client
Note: You need your login credentials for the My Millennium Community web site to complete the update. If you do not remember your login credentials, contact Business Support for further assistance.
1. Access Windows on the server for the location where you need to update the Central Office Windows service.
2. Open a web browser and access http://update.harms-software.com.
3. Type your login credentials and click Login.
The Updates page displays.
1. In the Millennium CO Updates panel, click the Download link next to Millennium CO Data Uploader Client.
The Millennium CO Data Uploader Client window displays.
1. Click Download.
The View Downloads window displays.
1. Click Run.
The update wizard displays.
1. Click Next.

1. Click Close.
Updating the Crystal Reports Component
Note: You need your login credentials for the My Millennium Community web site to complete the update. If you do not remember your login credentials, contact Business Support for further assistance.
1. Access Windows on the server where you have the Central Office database installed.
2. Open a web browser and access http://update.harms-software.com.
3. Type your login credentials and click Login.
The Updates page displays.
1. In the Millennium CO Updates panel, click the Download link next to Millennium CO Crystal Reports Update.
The Millennium CO Crystal Reports Update window displays.
1. Click Download.
The View Downloads window displays.
1. Click Run.
The update wizard displays.
1. Click Next.
The Confirm Installation screen displays.
1. Click Next.
The Installation Complete screen displays once the update finishes.
1. Click Close.

Preferences

Configuring Preferences
1. Select Maintenance > CO Maintenance > Preferences.
The Preferences tab displays.
1. Select the following preferences as necessary:
- Globalize UV Time/Location = Select to prevent clients who received a UV tanning service from receiving another UV tanning service at a different location within a 24 hour period.
Note: This option is only applicable if you are using the T-Max interface at your business.
- Globalize Client Restricted Information = Select to make a client profile restricted at all locations if marked restricted at a specific location.
- Set active membership will choose DUES before PIFS = Select to automatically make a client's dues membership active and expire a client's paid in full (PIF) membership in situations where a client has two memberships at two different locations.
- Offsite GC transfer will use = Specify how much refund to award the transferring location when a gift certificate is transferred out for use at another location:
- Original Liability Value = Select to refund the value of the gift certificate.
- Original Price = Select to refund the price paid for the gift certificate.
1. Click Save Preferences.

Data Editor

The Data Editor allows you to correct instances where duplicate records have different Global IDs.

Example: If you add a client profile at Location A and add a duplicate profile for the same client at Location B, the profiles will have different Local and Global IDs. To correct this situation, you need to merge the two profiles into a single profile that you can use when the client visits any location.

Merging Duplicate Records to Use the Same Global ID
1. Select Maintenance > CO Data Editor.
The CO Data Editor page displays.
1. In the Table field, select the type of records for which to correct errors.
2. Select All Locations to correct errors at all locations, or deselect All Locations and select the locations for which to correct errors.
3. Select filters to locate the duplicate records.
4. (Optional) Specify the number of duplicate records to display:
1. In the Records field, specify the number of records to display per page.
2. In the Records to Return field, specify the maximum number of records to display.
1. Click Search.
2. Select Check next to the records that you want to merge to use the same Global ID.
3. Click Merge to Same Global ID.
Central Office merges the records to use the same Global ID.

The Data Editor also allows you to correct instances where unrelated records have the same Global ID.

Example: A massage and manicure service that have the same Global ID.

Converting Duplicate Records to Use Different Global IDs
1. Select Maintenance > CO Data Editor.
The CO Data Editor page displays.
1. In the Table field, select the type of records for which to correct errors.
2. Select All Locations to correct errors at all locations, or deselect All Locations and select the locations for which to correct errors.
3. Select filters to locate the duplicate records.
4. (Optional) Specify the number of duplicate records to display:
1. In the Records field, specify the number of records to display per page.
2. In the Records to Return field, specify the maximum number of records to display.
1. Click Search.
2. Select Check next to the records that you want to convert to use different Global IDs.
3. Click Make Unique Global IDs.
The records are converted to use unique Global IDs.

Locations

Updating a Location
1. Select Maintenance > Locations.
The Locations page displays.
1. Click the Listing tab.
2. Type the name of the location and click Search.
3. Click Select next to the location.
4. Click Edit.
5. Make changes as necessary.
6. Click Save.
Verifying Data is Syncing to Central Office
1. Select Maintenance > Locations.
The Locations page displays with the Listing tab selected.
1. Check the entry in the # Records field for each location:
- If a number between 0-500 displays, the data from that location is syncing correctly.
- If a number between 500-2000 displays, the data from that location may not be syncing correctly and you should continue to monitor that location to see whether the number decreases/increases.
- If a number greater than 2000 displays, the data from that location is not syncing correctly. Contact Business Support for further assistance.
Tip: You can also view the number of records not synced from a location to Central Office by accessing Millennium and selecting Utilities > Central Office Records Not Sync'd. A notification will then display with the number of records not synced to Central Office.

Regions

Assigning locations to regions allows you to run reports for specific regions and restrict users to viewing the data from their region.

Defining a Region
1. Select Maintenance > Regions.
The Regions page displays.
1. Click New.
2. In the Region field, type the name of the region.
3. In the Manager field, type the name of the manager responsible for the region.
4. Select the location(s) to include in the region.
5. Click Save.
Updating a Region
1. Select Maintenance > Regions.
The Regions page displays.
1. Click the Listing tab.
2. Click Select next to the region.
3. Click Edit.
4. Make changes as necessary.
5. Click Save.
Deleting a Region
1. Select Maintenance > Regions.
The Regions page displays.
1. Click the Listing tab.
2. Click Select next to the region.
3. Click Delete twice.
